Terms and Conditions
Introduction
Welcome to Live Well Pharmacy, an online pharmacy service operated by Concept Medicine Limited. We are a fully regulated UK pharmacy authorised by the Medicines and Healthcare Products Regulatory Agency (MHRA) and the General Pharmaceutical Council (GPhC). Live Well Pharmacy is registered with the Information Commissioner’s Office (ICO) for data protection compliance and carries professional indemnity insurance through the National Pharmacy Association (NPA). By accessing our website or using our services, you agree to these Terms and Conditions. Please read them carefully before using our online consultation and prescription service.
Service Overview
Live Well Pharmacy provides a convenient online Prescribing service with qualified prescribers (independent pharmacist prescribers) who consult with patients via video call. After you complete a medical questionnaire, you will schedule a video consultation using platforms such as AccuRx, Microsoft Teams, Google Meet, or WhatsApp. Our clinician will review your questionnaire responses and discuss your medical needs during the video call. If the prescriber determines that treatment is appropriate, they will issue a private prescription, which our pharmacy will dispense and dispatch to you. We offer online consultations with video calling and can liaise with your GP when necessary to ensure safe care.
Important: We are under no obligation to prescribe medicine after a consultation if it is deemed clinically inappropriate. The consultation fee (if any) covers the clinician’s time and expertise, and it is chargeable even if no prescription is issued as a result of the consultation. We will only prescribe medication that is safe and suitable for you based on the information you provide and the prescriber’s professional judgment.
Eligibility (Age and Residency)
Our services are available only to patients in the United Kingdom. By using Live Well Pharmacy, you confirm that:
- You are at least 18 years old and not older than 74 years old. We do not accept patients under 18, and our online consultation service is not offered to individuals aged 75 or over.
- You are currently located in the UK and have a valid UK address for delivery. We make no representations that our services are appropriate or available outside the UK, and we do not ship products internationally.
- You will use our services for your own personal healthcare as a patient. You may not use our services on behalf of someone else.
- You understand and speak English well enough to communicate with our clinicians. (Our services are provided in English.)
We may require proof of identity or age to verify that these eligibility criteria are met. If you do not meet these requirements, you must not use our website or services.
Patient Agreement and Responsibilities
When using our online pharmacy service, you agree to the following:
- Truthful Information: You will provide accurate, current, and complete information about your identity, medical history, symptoms, and any medications you are taking. The advice and prescriptions we provide are based on the information you supply, and you must ensure all information is correct and complete. If you deliberately withhold or give false information, it can affect our ability to treat you safely, and we are not responsible for any consequences that result from inaccurate information you provide.
- Questionnaire: Before each consultation or medication request, you must complete the online medical questionnaire truthfully. This is a vital part of the consultation process and helps our prescribers assess your condition.
- Video Consultation: You agree to attend the scheduled video consultation and ensure you have the necessary equipment (smartphone or computer with camera and internet access) ready. If technical issues occur (e.g., poor connection), we may reschedule or offer an alternative method, but it is your responsibility to be available at the appointed time. Please do not record the consultation unless you have informed the clinician and obtained consent, as our clinicians will not record it without your permission.
- Not an Emergency Service: You understand that Live Well Pharmacy is not an emergency medical service. For any condition that is urgent or life-threatening, you will call 999 or seek immediate in-person medical attention rather than use our online consultation. If during an online consultation, the prescriber determines you need urgent care, they will advise you to seek emergency help.
- Use of Medications: You will use any medication prescribed through our service strictly as directed by the prescriber or as stated on the pharmacy label. Read all patient information leaflets provided. If you experience any side effects or issues with a medication, you agree to contact us or seek medical advice promptly.
- One Account per Patient: You should create only one account and not register multiple accounts under different names. This ensures our clinicians have your complete medical profile to provide safe care. We reserve the right to suspend or terminate accounts that violate this rule.
Online Consultation and Prescription Process
- Medical Questionnaire: When you select a treatment or service on our website, you will be asked to fill out an online questionnaire about your health, symptoms, and medical history. Please answer all questions honestly and thoroughly.
- Appointment Scheduling: After submitting the questionnaire, you will be prompted to schedule a video consultation at a time convenient for you. We offer consultations via Microsoft Teams, Google Meet, or WhatsApp video. You’ll receive a link or contact details for the video call once your appointment is confirmed.
- Video Consultation: At the scheduled time, you will have a one-on-one video call with our prescriber. They will discuss your health concerns, review your questionnaire answers, and may ask additional questions. The prescriber might also request to see a form of photo ID during the call (to verify identity/age) or ask to check physical symptoms via video if applicable. Please be in a private, well-lit environment for the call. Typically, consultations last about 10-15 minutes (though this can vary).
- Prescription Decision: After the consultation, the prescriber will decide whether it is appropriate to prescribe medication or treatment for you. There is no guarantee that a prescription will be issued. The prescriber might determine that no prescription is necessary or that you should be referred to a physical GP or specialist instead. We reserve the right to decline to issue a prescription if it is not clinically appropriate or safe to do so. In such cases, you will be informed of the outcome and the reasoning. If a prescription cannot be issued, your consultation fee will not be refunded since the service (medical assessment) has been provided, as allowed by law for healthcare services that have been fully carried out.
- Issuing Prescription: If the prescriber approves a treatment, they will generate a private prescription in your name. Our pharmacy team will then dispense the medication from our UK-regulated pharmacy. All medicines supplied will have been approved by the MHRA and will be dispensed under the supervision of our registered pharmacist.
- Payment: After the consultation (and if a prescription is issued), you will be charged for the medication and the delivery (if not already paid during the online order process). All prices for medications and the standard delivery charge (£3.95) will be clearly communicated before you confirm your order. By confirming you wish to proceed with the medication, you agree to pay these charges. We will charge the payment method on file (or you will be prompted to enter payment details) once the prescription is confirmed. If, for any reason, payment is not completed or authorized, we will not be able to dispatch your medication.
- Dispatch and Delivery: Once dispensed, your medicine will be sent to your provided UK address via our shipping method (see our Delivery & Shipping Policy for full details). Generally, medicines are dispatched within 1 working day after the prescription is issued and payment is confirmed. You will receive a notification when your order is shipped. Deliveries are handled by Royal Mail using a tracked, signed-for service to ensure secure delivery.
- Follow-up: After you receive your medication, we may follow up via email or phone to check on your progress or if you have any questions. If you have any concerns or side effects from the medication, you can contact us for advice. Our clinicians may provide follow-up advice or adjustments to treatment as needed. In some cases (especially for ongoing treatments), a follow-up consultation may be recommended or required.
Consent to Share Information and GP Involvement
Your health and safety are our top priorities. By using our service, you consent to us accessing or sharing information with your GP and NHS services if necessary for your care. This includes:
- GP Details: We ask for the contact details of your NHS GP (general practitioner) during registration or at checkout. If our prescriber feels it is important for continuity of care or patient safety, we may contact your GP to inform them of the treatment provided or to obtain additional medical history. By agreeing to these terms, you agree that we may reach out to your GP in such circumstances.
- Summary Care Records (SCR): Our pharmacists and prescribers have access to the NHS Summary Care Record system. The SCR is an electronic record of key health information (like your current medications and allergies) pharmaceutical-journal.com. With your permission (which you grant by accepting these Terms), we may view your SCR to confirm your medication history or allergies to ensure safe prescribing. We will only access your SCR if it is needed for your treatment and in line with NHS guidelines. Accessing your SCR leaves an audit trail and is only done by authorised professionals.
- Emergency Contact: If during your consultation we become concerned about a serious risk to your health (for example, signs of a severe reaction or mental health crisis), we may, in rare cases, contact emergency services or your GP without explicit consent, as allowed by law and professional guidelines to prevent harm. This would only be in urgent situations where you are unable to seek help yourself.
We respect your privacy and will handle any exchange of information with your GP or NHS systems confidentially. (Please also review our Privacy Policy which details how we protect and use your personal data.) If you do not wish us to inform your GP or access your NHS records, you must explicitly inform us in writing. However, note that refusing permission for us to contact your GP or verify your records may limit the services we can safely provide and, in some cases, we may not be able to prescribe certain medications without that information.
Prescription Validity and Usage
All prescriptions issued by our prescribers are private prescriptions. They are intended to be dispensed only by Live Well Pharmacy (as part of our integrated service). If for any reason you receive a paper copy or an electronic prescription to take elsewhere (this would be unusual in our service model), note that private prescriptions are generally valid for 6 months from the date of issue, unless the medicine prescribed is a controlled drug which may have a shorter validity. We will dispense the full course of medication as prescribed. If your treatment includes repeats or a longer course, our prescriber will explain how that works and we will schedule any follow-up or repeat dispensing as appropriate. We do not issue NHS prescriptions through this service.
You must read the label on your medication and any accompanying patient leaflet. Do not use medication past its expiration date. If you have any questions about how to take the medication, dosage, or storage, please ask our pharmacist. All medications should be kept out of reach of children.
Pricing and Payment
We strive to be transparent about our pricing. The total cost will typically include a consultation fee (if applicable), the cost of the medication, and a standard shipping fee per order. All fees will be shown to you before you finalize your order at checkout.
- Consultation Fee: Some services or treatments may involve a separate consultation fee. If so, this will be clearly listed on our site when you select the service. This fee covers the clinician’s evaluation and is charged regardless of outcome (as noted, even if no prescription is issued, since the service was provided).
- Medication Cost: The price of the medication depends on the item and quantity prescribed. We will always tell you the price of the medicine before you confirm you want to proceed. If you think you have been prescribed an incorrect quantity or have any pricing questions, contact us before making payment or dispatch.
- Delivery Fee: We charge a flat £3.95 for shipping on each order (see Delivery Policy for details). This covers Royal Mail‘s 24-hour tracked delivery to your address. The delivery fee is waived if we specifically advertise a free delivery promotion or if your order qualifies under a special offer (if any such offers are running). Otherwise, assume £3.95 per order. If an item needs to be re-sent due to our error or as an agreed exchange for a damaged product, you will not be charged again for delivery in that instance.
- Payment Methods: We accept major debit/credit cards and other electronic payment methods as indicated on our website. Payments are processed through a secure payment gateway. Your card will typically be charged at the point of dispatching the medication (or after the prescription is confirmed). If your payment fails, we will contact you to arrange an alternative payment. We do not accept cash or payment on delivery.
- VAT: Most pharmacy medicines and services are either zero-rated or exempt from VAT in the UK. If any part of your purchase is subject to VAT, it will be included in the price, and a VAT invoice can be provided on request.
Refunds, Returns and Exchanges
Due to UK healthcare regulations, we cannot accept returns of medications once they have been dispensed and left the pharmacy’s control. This is to ensure medicine safety and integrity – returned medicines cannot be reused and pose a safety risk. Therefore, we do not offer refunds or returns for unwanted medications or if you change your mind after a prescription is dispensed. Please be sure that you want to proceed with the medication before confirming your order.
Exchanges for Damaged or Incorrect Items: We will replace medication or products that arrive damaged, defective, or if we sent you the wrong item. If your parcel arrives and the contents are damaged or broken, or the items do not match your order, please contact us within 48 hours of receipt. You can email us at our customer service email (or use the contact form) with your order details and describe the issue. We will likely request that you provide video or photo evidence of the damage/issue for our records and to facilitate a quick resolution. Once confirmed, we will arrange for an exchange: the same product will be re-sent to you as a replacement at no additional cost. In some cases, we may provide a prepaid return label or ask you to mail the damaged item back to us. Please retain all packaging if something is damaged, as we might need it returned. The return should be sent to us at Unit T3, Enterprise Centre, Ray Street, Huddersfield, West Yorkshire, HD1 6BL, which is our pharmacy address, so we can safely dispose of or inspect the damaged items. As soon as we receive evidence of the damage (or the returned item), we will process the dispatch of the replacement. We do not issue refunds for damaged items, only like-for-like replacements (exchanges), given the nature of pharmaceutical products.
Exceptions: If by rare chance we cannot replace a damaged item (for example, if it is out of stock), we may discuss an alternative remedy with you, such as a refund or an alternative product, but this is at our discretion. Non-medicinal products (such as medical devices or accessories) may be eligible for return/refund if they are unopened and in re-sellable condition, but you must contact us first for authorisation. (Again, medicines are not returnable.)
Faulty Medicines: If you suspect a medicine we supplied is faulty (e.g., recall, strange appearance, etc.), do not use it and contact us immediately. We will provide instructions on what to do and will exchange it if necessary. You may also report medication quality issues through the Yellow Card scheme to the MHRA.
Cooling-off and Cancellations: Under the Consumer Contracts Regulations 2013, certain goods and services may have cancellation rights. However, exemptions apply to medicinal products and health services that have been fully provided. Once a prescription is issued and dispensed specifically for you, you cannot cancel the order as the medication is personalised to you and cannot be reused. Similarly, if you have booked a consultation and wish to cancel or reschedule it, you should give us at least 24 hours’ notice. Missing a scheduled consultation without prior notice may still incur the consultation fee. If you wish to cancel an order before the medicine is dispensed, please contact us as soon as possible. If the item has not been dispatched yet, we may be able to cancel and refund the medication cost at our discretion, but if the pharmacist has already prepared (dispensed) the medicine, we may not be able to cancel.
Liability and Disclaimers
Medical Advice: Live Well Pharmacy’s clinicians will provide medical advice and prescriptions based on the information you give and your interaction during the consultation. While we strive to provide the highest standard of care, medicine and advice provided through our service is not a substitute for your regular GP’s care. We encourage you to inform your GP of any treatment you receive through us (and we can do so with your consent, as noted). We are not responsible for any consequences if you withhold information from us or from your GP. The information on our website (including any articles or FAQs) is for general information and is not tailored to individual cases; always follow the specific advice given by our prescriber in your consultation.
No Warranty for Suitability: We do not guarantee that a particular medication or treatment will be suitable for you – that is the purpose of the consultation to determine. If our prescriber decides not to prescribe any medication, this is for your safety and we shall not be liable for not fulfilling an order in such cases. We also do not guarantee that using our service will achieve specific health outcomes. Every patient is different, and while medications are effective, results can vary.
Website Use: While we work to keep our website available 24/7, we do not warrant that the site will be uninterrupted or error-free at all times. If technical faults occur (either on our site or with third-party video services), we will attempt to reschedule or complete our services as soon as possible, but we won’t be liable for any losses arising from such technical issues beyond our control. You are responsible for having compatible devices and security (like updated antivirus) when using our online services. We are not responsible for damage to your computer or device from using our site, except where caused by our negligence or malicious content we introduced (we have no reason to believe such events will occur).

Our total liability to you for any direct losses shall not exceed the total amount paid by you for the product or service in question. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for our fraud or fraudulent misrepresentation, or any other liability which cannot be excluded or limited under law. If you are a consumer, your statutory rights are not affected by these terms.
Indemnity: We expect you to use our service in accordance with these terms and only for lawful purposes. You agree to indemnify and hold harmless Live Well Pharmacy and its employees/agents from any claim or demand (including reasonable legal fees) made by any third party due to or arising out of your breach of these Terms, or your violation of any law or rights of a third party when using our service.
